Enhancing search, usability and content management across a SharePoint platform

Metataxis is delighted to be supporting a large UK government department in the redevelopment of its SharePoint-based Knowledge Bank (KB), a central repository for unpublished evidence and analytical outputs. The project aims to modernise the platform and improve usability, search accuracy, automation and content management across the organisation.

The Knowledge Bank plays a critical role in enabling effective knowledge sharing within this This central government department’s Analytical Community and wider policy teams. However, the current site is outdated, with a confusing user experience, low confidence in search results, and inefficient document management processes. Inconsistent metadata use has also contributed to poor version control and content governance challenges.

The redevelopment will address these issues through a combination of user-centred design, technical optimisation and strengthened governance. Metataxis will deliver:

  • A redesigned site structure and navigation to improve usability
  • Enhanced search functionality, to provide accurate and comprehensive results , including a prominent homepage search capability
  • Streamlined document upload processes and improved version management
  • Clear content review and lifecycle management processes aligned to organisational policy
  • Improved taxonomy and metadata management, with exploration of automated tagging where appropriate
  • Rationalised permissions and access controls, including provisions for sensitive content
  • Integration of Microsoft Forms to support the capture and storage of structured knowledge templates
  • Updated Power BI reporting to monitor usage and inform continuous improvement
  • Training and upskilling to enable teams to manage and maintain the platform effectively
