Robust scoping study supports secure content management and workplace modernisation for National Museum

Metataxis has supported a national museum in developing a clear and robust strategy to modernise its information management and introduce a secure digital workplace.

Following a recent relocation to a new building, the museum identified an opportunity to modernise the way information is managed and accessed across the organisation. To address extensive legacy content and large volumes of information, the museum set out to migrate its shared drive content to SharePoint Online and Microsoft Teams.

Metataxis was engaged to deliver a comprehensive scoping study to assess the volume, structure, age and complexity of the existing content, as well as the information architecture and governance arrangements within the target environment.

The study included in‑depth interviews with stakeholders across IT, records management and information security, providing valuable insight into how information is created, organised and accessed. These findings highlighted current challenges staff were experiencing when locating, managing or maintaining information and informed the development of a detailed discovery report.

This work resulted in a clear migration strategy and IT roadmap, laying the foundations for a more structured, secure and reliable information environment. The approach supports consistent access to information and introduces modern tools designed to enable more efficient and sustainable ways of working for the museum.
