Independent review confirms Microsoft 365 is ideal EDRMS for Healthcare Trust

Responsible for vast volumes of personal data, this national healthcare organisation was looking to introduce a new Electronic Document Records Management System (EDRMS) to securely manage all their files and documentation across the Trust.
Having already invested in Microsoft 365, the Trust was interested in discovering whether this suite of productivity applications could support their records management objectives and obligations.
Key requirements
Using G-Cloud to research suitable suppliers, Metataxis was approached to undertake this EDRMS support project.
Metataxis was appointed to assess the suitability and capability of Microsoft 365 as a records management solution and determine whether it had the capacity to meet the Healthcare Trust’s obligations under the Code of Practice.
The Metataxis approach
Working with the Information Governance lead at the Trust, Metataxis undertook a comprehensive review of Microsoft 365 for use as an EDRMS covering the adoption of E3 licences and Purview functionality. Following a set of clear requirements set by the Trust, we also went on to assess several other specialist Electronic Document Records Management systems, including AvePoint Cloud Records and Cloud Governance, RecordPoint Records 365 and Hyland Alfresco and then compared these to the Microsoft 365 solution.
We delivered an independent solution review and recommendations which ultimately revealed that the Trust could successfully deploy Microsoft 365 as their Electronic Document Records Management system as opposed to purchasing a specific EDRMS to meet their strict compliance regulations and Code of Practice.
The results of our independent assessment were used to justify the use of Microsoft 365 for records and document management to the Board of Trustees, rather than investing in a brand new EDRMS.
As Records Management experts, we recognise that the adoption of Electronic Document and Records Management Systems can be costly. Having already invested in Microsoft 365 across the Trust, this report has confirmed that the Trust does not need to make further financial investments and purchase a new solution to meet all their document management requirements.
